# The Organizer

> Files or tags every new email into your own folders the moment it lands, with one-click undo

**The Organizer** sorts your inbox into your own folders. Every new email is filed or tagged the moment it lands,
and you can put anything back in one click. It works with the folders you already have; it never invents a filing
system of its own. Find it under Tactics → The Organizer.

## When it runs

Every time an email arrives in your connected inbox. When you first open the page it reads your existing folders
so it can suggest categories, and Rescan reads them again. It also learns quietly from you: every time you move
an email yourself, it notes where that kind of mail goes. Your inbox must be connected.

## Settings

Under Your categories you describe each kind of email in your own words and say where it should go.

Nest under a parent (off by default) keeps every folder or label The Organizer creates under one parent, for
example `Emanate/To respond`.

Four categories are built in and always present: To respond, FYI, Notification and Marketing. You can
rename them and rewrite their descriptions, but not remove them. They start as Tag it with no destination. Each
category card has:

| Field | What it does |

| Colour swatch | The colour of the label or category |
| Name | What the folder, label or category is called |
| **Description** | A few words on what belongs here. A custom category with no description is ignored. |
| **What to do** | Tag it leaves the email in your inbox with a label or category on it. File it moves it into the folder. |
| **Where** | The folder or label to use. Pick an existing one or type a new name and it is created the first time it is needed. Inbox, Sent, Drafts and Trash are never offered. |

Add category creates a new one; the trash icon removes a custom one.

The Suggested by Ray band shows categories your assistant found by reading your folders, each with the folder
path and a few real subject lines as evidence. Accept adds it to your list; Dismiss stops it being suggested
again.

  Gmail uses labels, Outlook uses folders and categories. If your Outlook is connected in a way that has no
  categories, Tag it is unavailable and The Organizer files instead.

## What you get

Mail sorted as it arrives. The Activity tab lists every email it touched: Email, Category, Where,
Outcome and When, with a Put back button on every row. Outcomes read Tagged, Filed, Put back,
Could not file, or the reason it left an email alone. Open a row to see Why it chose that category: it
matched the description, it followed an earlier email in the same thread, or you had filed mail from that sender
there before.

  The Organizer is one of two tactics that change your mailbox without asking first (the other is
  [The Archiver](/home/tactics/archiver)). Every action is logged, and Put back returns any email to where it was.
